Job Description

Position Overview

Ultimate Staffing Services is currently seeking a dedicated and organized Event Coordinator to join their client's team in Napa, California. This role requires a dynamic individual who is passionate about event planning and marketing. The Event Coordinator will play a vital role in organizing national tradeshows and marketing events, ensuring their successful execution and alignment with the company's brand image.

Responsibilities

Events Coordination

  • Oversee coordination and execution of all national tradeshows and marketing events, including identifying events, budgeting, and logistics.
  • Maintain and update all tradeshow checklists, setup instructions, and tradeshow documentation.
  • Maintain event details on the Marketing calendar.
  • Manage inventory and purchasing of all event items.
  • Execute lead imports, pre/post mailings, and other correspondence.
  • Coordinate all sample product, supply, and POS needs.
  • Create and update event collateral, including recipe cards and signage.
  • Prepare and summarize event data and statistics for weekly, monthly, quarterly, and annual reports.
  • Participate in person at events as needed.
  • Execute post-event follow-up email communications.
  • Responsible for execution of social media messaging and posting during onsite events.

Marketing Functions

  • Coordinate sample requests from marketing partners for events and PR.
  • Process sample requests as needed.
  • Update POS materials and manage purchasing.
  • Create and maintain specific SOP documentation.
  • Manage organization, relevancy, controls, and archiving for department shared drive.
  • Provide backup support for email blast communications, including developing message points, creation of blast, sending email, and tracking report logs.
  • Support website maintenance, including developing icons and graphics, making updates, collecting site statistics, and updating recipe database.
  • Represent the brand by making end-user visits in the local market as needed.
  • Perform other miscellaneous marketing projects as assigned.
  • Assist with updates to sales material, documentation, and customer requests.
  • Provide Customer Service support, including answering phones.

Required Work Hours

Monday to Friday, first shift.

Benefits

Competitive salary ranging from $28 to $32 per hour, with approximately 25% travel time.
