Practice administrator/office manager/operations manager
Dental practice, privately owned and operated by a group of 5 dentists, is seeking an experienced individual to lead the practice, employees, and daily operations. Practice is well established, with offices in Dansville and Bath NY. Employing about 50 people. The position is available because the current director of 20+ years is retiring.
Compensation: full time, salary plus benefits, flexible hours, will require time in both locations, occasional evening and Saturday hours. Compensation package to be negotiable based upon experience and skill set, beginning minimum salary of 80k. Experience in health care is not required.
Requirements:

· 10 or more years of experience working in small to medium sized customer service businesses.
· Experienced in supervision/management of employees, employee development, training.
· Proven leadership abilities, understanding of business and workplace culture development.
Responsibility:
Assist the owners in developing and maintaining a positive professional culture in an exceptionally well-run prosperous practice that aligns with the vision and mission of the owners in delivering an exceptional patient and employee experience.
Roles :
There is a management team and department managers. This role has responsibility for but not sole execution of:
Staff management: Recruiting, training, and supervising staff, staff meetings and performance reviews, individual employee development, maximizing optimal use of staff time and skill, keeping staff productive while creating positive cooperative teamwork and patient centered culture. Staff recognition and appreciation.
Operations: Supervise daily practice operations and establish and implement effective workplace procedures, processes, systems, policies, and staff training and follow-up on implementation and maintenance of those systems.
Scheduling: Responsibility for office, provider, staff, schedules. Office hours, on-call coverage, vacations and coverage, emergency appointments, lunch breaks, correct numbers of staff at correct times. Managing overtime.
Customer service: addressing customer complaints or concerns, anticipating pt needs and wants and working to meet those needs, creating exceptional patient experience and raving fans.
Monitoring key performance indicators: systems and reports
Compliance: Ensuring the practice meets all compliance standards, DOL, OSHA, HIPAA, ADA, etc.
Communication: All team members well informed and in-the-loop on needed information, culture, policies and procedures, staff changes, staff wellness, changes and direction
Big Picture: Collaborate with owners and the management team to develop business strategies and patient services for continuous improvement and positive change. Project development and execution.
How will performance be evaluated:
· Employee satisfaction and retention – staff morale, staff engagement, and staff turnover
· Patient satisfaction and retention – number of patients, patient referrals, on-line image
· Operational efficiency – overhead percentage, effective systems well maintained, provider schedules full and productive,
· Business success – hitting KPIs, growth, profitability, achievement of practice goals, strategic plan, and selected projects
· Proactiveness and effectiveness in addressing patient or employee issues
· Maintaining provider production and filling schedules
· Prompt/effective communication with owners regarding projects, tasks, implementation of policies, daily on-goings in office, etc

Pay: From $80,000.00 per year
Expected hours: No less than 42 per week
