Job Title : Office Administrator – Construction / Manufacturing Operations

Location: Jacksonville, FL (Onsite Only)

Schedule: Monday to Friday, 8:00 AM to 5:00 PM - occasional longer hours during special projects or peak periods

You’ll be at the center of it all, providing vital administrative support to both production and sales teams, while helping the business transition accounting operations to its Florida hub. Key Responsibilities:

• Oversee daily invoicing and reporting duties using QuickBooks, with a focus on speed and accuracy
• Maintain and update inventory logs by recording incoming materials and tracking usage
• Manage vendor relationships, supply orders, and site maintenance issues (e.g., plumbing, gates)
• Provide administrative support to plant and hourly staff (uniforms, gear, etc.)
• Interface with customers, vendors, and employees through phone and in-person communication
• Collaborate with offsite accounting personnel during transition of financial operations
• Help create and maintain an organized, efficient, and people-first office environment

Qualifications:

• Proficiency with QuickBooks or equivalent accounting software
• Comfort with basic office software (Google Docs, Excel, etc.)
• Excellent multitasking skills and strong attention to detail
• Professional demeanor with strong verbal and written communication skills
• Capable of working both behind a desk and hands-on when needed (shop floor, supplies)
• Experience in construction, manufacturing, or similar physical environments preferred
• Must have a valid driver’s license
• Local to Jacksonville with a desire for long-term employment and cultural fit in a family-style team
